Booking Terms & Conditions

1. Introduction

These Booking Terms and Conditions, together with our Privacy Policy and any written communication we provide, form the agreement between you (“the client”) and ABC Adventures Pvt. Ltd. (“we”, “our”, “us”).

By booking a trip with us, you confirm that you:

• Have read and agree to these terms.
• Are at least 18 years old and authorized to make the booking.
• Accept all financial responsibilities for the booking.
• Are physically fit for your chosen trip.
• Understand the risks of traveling and trekking in mountainous regions.

2. Booking Confirmation

A booking is confirmed only after we receive your 30% deposit and send you a written confirmation email. Please check your confirmation carefully to ensure all details are correct.

3. Payments

• Deposit: 30% of the total trip cost is required at the time of booking.
• Final Payment: The remaining balance must be paid at least 7 days before the trip start date.
• Payment Options: Bank transfer, online payment, or cash at our Kathmandu office.
• Bookings made within 30 days of the trip require full payment at the time of booking.

All payments can be made in Nepalese Rupees (NPR) or US Dollars (USD) as per the prevailing exchange rate.

4. Pricing

All prices are listed in USD unless stated otherwise. Prices may change due to fluctuations in fuel, park fees, or exchange rates.
If the total cost increases by more than 8%, you may cancel or reschedule your trip without penalty.

5. Cancellations by You

If you need to cancel your trip:

• 7 days or more before departure: Deposit (30%) is non-refundable; balance refunded.
• Up to 3 days prior: 50%
• No-shows: No refund.

Deposits are non-refundable but remain valid as lifetime credit, which can be used for future trips or transferred to another traveler.

If cancellation is due to force majeure (natural disasters, political unrest, or pandemics), we will offer a flexible rescheduling option.

6. Changes by You

Requests to change travel dates or services must be made at least 5 days before departure.
Changes are subject to availability and any additional costs.

7. Changes or Cancellations by Us

We may need to cancel or modify a trip due to unforeseen circumstances such as weather, safety concerns, or low group size.
If this happens, you can:

• Accept the new arrangements,
• Reschedule to another available trip, or
• Receive a refund (excluding the deposit).

8. Travel Insurance

All travelers must have comprehensive travel insurance that covers:

• Medical treatment and evacuation (including helicopter rescue),
• Trip cancellation or interruption,
• Personal accidents, and
• Loss of baggage.

Proof of insurance may be required before your trip starts.

9. Passports and Visas

All travelers are responsible for obtaining a valid Nepal visa and ensuring their passport is valid for at least 6 months beyond the trip end date.
We are not responsible for denied entry or delays due to incomplete documents.

10. Health and Fitness

You must be in good physical condition to join our trips. Please inform us of any medical issues before booking.
We may require a medical certificate for high-altitude treks or climbs.

11. Risk Acknowledgment

Adventure travel in Nepal involves certain risks such as altitude sickness, unpredictable weather, or limited access to medical care.
By booking with us, you accept these risks and agree that ABC Adventures is not responsible for any injury, loss, or damage beyond our control.

12. Complaints

If you experience any issues during your trip, please inform your guide or our office immediately so we can resolve them.
If not resolved, you can email us at info@abcadventures.com.np within 30 days after your trip.
